We're a small business, do we need offsite document storage?
Many small and medium sized businesses don't realise they can store their archive documents offsite at a reasonable price.
Your office space is too valuable to be spent storing documents that you don't use daily. You also don't need to worry about health & safety issues with employees moving large, heavy boxes of paper off of shelves and throughout the office.
With offsite archive storage, your documents are kept safe in our warehouse, bar coded and tracked. You can request documents to be delivered at your convenience, or even scanned and emailed or faxed to you. You can even set up a schedule of destruction with us, to ensure you're not storing documents you are no longer required to store.
How will my documents be stored?
Your documents will be stored in line with standard archive storage procedures. All archive documents are kept in cardboard archive boxes, which are bar coded. The barcoded boxes are then kept on coordinating barcoded shelves in our modern warehouse. All boxes have an audit trail of their movements, so if you request a document or we move your box to another shelf, there's a record of the box's movement.
Are individual files accessible?
Yes, you can order a single file from a box. The file will be assigned its own bar code, and will be returned to the same box when it comes back to our facility. It will keep the bar code for the life of the file, and can be ordered by this code in the future. All boxes and files have an audit trail of their movements.
Will you deliver my documents?
Absolutely. Our next day document delivery service is at no extra charge. Same day delivery can be arranged for an extra cost.
How quickly can I retrieve my files?
We normally deliver your files on the day after you request them. However, if your request is urgent and you need them on the same day, we can offer our same-day service for an extra fee.
Can I receive a scan or fax with my file's contents?
Yes, we are happy to provide this service for you.
How do I retrieve an individual box or file stored with you?
Simply log in to our retrieval system, powered by the leader in document management O’Neil Software, and enter the information for your requested boxes or files. We'll then deliver them straight to you. Click here for the retrieval system.
Will you pick up my archive storage?
Absolutely. We will pick up your documents for storage directly from your office. If you are changing archive storage providers, we can retrieve them from another location or document storage provider.
Can I pick up a box from your warehouse?
Yes, that's not a problem. Simply request your boxes or files as usual through the retrieval system and arrange a day and time to pick them up. Click here to see the retrieval system.
Do you have CCTV?
Yes, the inside and outside of our warehouse are protected with CCTV. In addition, the entire premises are gated and locked outside of business hours.
Wouldn't it be cheaper to rent a self storage unit?
No, it isn't cheaper to use a self storage unit. The costs of renting a unit are 60-70% higher per year than using our professionally managed service - and we can help you maintain your GDPR compliance.
Do I need to transfer all of my files to your archive boxes?
No, not at all. Unless a box is damaged, you can continue to use your existing boxes.
I don't need storage, but can I just buy some archive boxes from you?

Will you help me decide on a document destruction schedule for my stored files?
Yes. We find that most clients like to destroy the documents they no longer need on either a monthly or a quarterly basis. It is completely tailored to the needs of your business and profession or industry - and we'll help you keep GDPR compliant, too.
How is a document destruction schedule created?
When you store with us, we ask about your destruction needs and help create a schedule for you. We'll then pull the files scheduled for destruction on the appointed date and submit them for secure destruction, including a certificate of destruction.
Of course, we know some files or documents should never be destroyed, and we ask you about these files as they come in for storage and do not include them on your destruction schedule. We will also help you maintain your GDPR compliance.
Do I need to be an archive storage client to use your secure shredding service?
No, not at all. We are happy to arrange for shredding on request or a scheduled shredding service at your business. We welcome shredding from anyone - students, individuals, businesses - anyone who wants to keep their private information secure. See our shredding services here.
Will you pick up my shredding?
Yes, we can collect your on request single shredding service (there’s a small charge for this), or you can drop it off at our warehouse in Trafford Park, just off the M60 and less than a mile from the Trafford Centre.
For scheduled document shredding, we pick up your papers for secure destruction on a regularly scheduled basis, as agreed with you.
How does scheduled secure document shredding work?
We will provide a secure shredding console or bin for free at your place of business. We will then set a schedule with you for daily, weekly, monthly or quarterly collection, based on your needs.
Do I receive a certificate of destruction?
Yes, you will receive a certificate of destruction for your secure shredding after the destruction has taken place. This is normally within 24 hours of collection - please ask for a certificate when you're using periodic shredding; for scheduled shredding we'll discuss this with you and arrange for a certificate to be issued as your shredding is scheduled.
